  • moderate abuse;

  • assess authenticity;

  • investigate conflicts of interest;

  • respond to complaints;

  • prevent review manipulation; and

  • preserve Platform integrity.

FIA does not automatically disclose a reviewer’s private identity to a business merely because that business disagrees with a review.

Review practices are governed by the Reviews & Ratings Policy.

  • Service Partners;

  • payment providers;

  • service providers;

  • publicly available business sources;

  • government or professional registries;

The fact that information is publicly available does not eliminate applicable privacy obligations.

16. IDENTIFYING PURPOSES

FIA aims to identify the purpose for collecting personal information before or at the time the information is collected.

Where reasonably possible, collection forms, onboarding processes, checkout screens or other interfaces should explain why material information is required.

If FIA wishes to use personal information for a materially new purpose that was not previously identified and is not otherwise legally permitted, FIA will take appropriate steps concerning notice and consent.

17. CONSENT

Where consent is required, FIA aims to obtain consent that is meaningful in the circumstances.

The appropriate form of consent may depend on:

  • sensitivity of the information;

  • purpose;

  • reasonable expectations of the individual;

  • legal requirements; and

  • potential consequences of the processing.

Certain essential processing may be necessary to provide a requested account, service or transaction.

Optional uses should not be made a condition of service where the information is not reasonably necessary for the applicable legitimate purpose.

Submitting information through FIA does not mean an individual consents to every possible future use of that information.

18. WITHDRAWING CONSENT

Where processing is based on consent, an individual may generally withdraw consent subject to:

  • legal restrictions;

  • contractual restrictions;

  • reasonable notice; and

  • information FIA is required or permitted to retain or process without consent.

Withdrawal may affect FIA’s ability to provide certain services.

For example, FIA may not be able to:

  • maintain an account;

  • process an order;

  • administer a Seller payout;

  • complete verification; or

  • provide another requested service

where necessary information can no longer be processed.

Marketing consent can generally be withdrawn without preventing necessary transactional, security or legal communications.

19. MARKETING COMMUNICATIONS

FIA may send marketing communications where there is an appropriate legal basis.

Marketing communications may include information relating to:

  • FIA services;

  • Marketplace opportunities;

  • business programs;

  • content;

  • promotions; or

  • other relevant FIA offerings.

Where required, commercial electronic messages will include appropriate identification and an unsubscribe mechanism.

Unsubscribing from marketing does not prevent FIA from sending communications reasonably necessary for:

  • account administration;

  • orders;

  • payments;

  • security;

  • Marketplace fulfilment;

  • refunds;

  • disputes;

  • legal notices; or

  • other requested services.

20. DISCLOSURE TO MARKETPLACE SELLERS

Where a Buyer purchases from an independent Marketplace Seller, FIA may provide the Seller with information reasonably necessary to fulfil the transaction.

Depending on the offering, this may include:

  • customer name;

  • contact details;

  • order details;

  • service requirements;

  • appointment information;

  • delivery information; or

  • other information reasonably necessary for fulfilment.

Marketplace Sellers must not use Buyer information for unrelated purposes merely because they received it through FIA.

Seller privacy and customer-information obligations are also addressed in the Marketplace Seller Standards.

21. INFORMATION PROVIDED TO BUYERS

FIA may provide Buyers with information identifying the Marketplace Seller responsible for their purchase.

This may include applicable public business information such as:

  • Seller name;

  • business identity;

  • contact information where appropriate;

  • service information; and

  • transaction-related information.

Sensitive private Seller information such as banking or tax information is not disclosed to Buyers merely because they made a Marketplace purchase.

22. SERVICE PROVIDERS

FIA may use third-party service providers to support functions such as:

  • website hosting;

  • cloud infrastructure;

  • security;

  • communications;

  • payment processing;

  • analytics;

  • forms;

  • customer support;

  • Marketplace technology;

  • fraud prevention;

  • email delivery;

  • Affiliate attribution;

  • CRM;

  • AI-supported tools; or

  • other business operations.

FIA remains responsible for personal information under its control and seeks appropriate safeguards when information is transferred to service providers for processing.

Service providers may have access only to information reasonably necessary for the functions they provide, subject to applicable arrangements and law.

23. LEGAL, SECURITY & OTHER DISCLOSURES

FIA may disclose personal information where permitted or required for purposes such as:

  • complying with applicable law;

  • responding to a lawful court order or government request;

  • tax or Platform reporting;

  • fraud prevention;

  • payment disputes;

  • investigating security incidents;

  • enforcing FIA agreements;

  • protecting legal rights;

  • protecting users or the public;

  • responding to emergencies where permitted; or

  • completing a lawful corporate transaction.

FIA does not disclose personal information merely because another party requests it.

24. SALE OF PERSONAL INFORMATION

FIA does not currently sell personal information to advertisers or data brokers in exchange for money.

Applicable privacy laws may define concepts such as “sale” or “sharing” differently.

Where a legal definition applies, FIA will interpret and address the practice according to the applicable law.

25. COOKIES & TRACKING TECHNOLOGIES

FIA may use cookies and similar technologies for purposes such as:

  • essential Platform functionality;

  • sessions;

  • authentication;

  • security;

  • fraud prevention;

  • preferences;

  • analytics;

  • Marketplace functionality;

  • shopping-cart functionality;

  • conversion measurement;

  • Affiliate attribution;

  • referral tracking;

  • advertising or remarketing where activated; and

  • Platform improvement.

Some technologies may be necessary for FIA to function properly.

Other technologies may be subject to available privacy or consent choices.

See the Cookie & Tracking Policy for more information.

26. AFFILIATE & REFERRAL ATTRIBUTION

Where Affiliate functionality is active, FIA may use:

  • referral links;

  • identifiers;

  • cookies;

  • transaction records;

  • promotional codes; or

  • similar technologies

to determine whether a qualifying transaction should be attributed to an Affiliate.

Affiliate commission does not override user privacy choices.

Details are available in the Affiliate Tracking & Attribution Disclosure.

27. AI & AUTOMATED TOOLS

FIA may use AI-supported or automated tools for appropriate business purposes.

These may assist with functions such as:

  • content drafting;

  • categorization;

  • recommendations;

  • customer support;

  • analysis;

  • moderation assistance;

  • workflow automation;

  • fraud detection;

  • Platform operations; or

  • business services.

FIA does not treat AI-generated output as automatically accurate.

Personal information should not be entered into AI systems unnecessarily.

Where FIA introduces automated decision-making that creates specific legal notice, explanation or review obligations, FIA will provide the processes required by applicable law.

More information is available in the Responsible AI & AI Usage Disclosure.

28. INFORMATION SECURITY

FIA uses administrative, technical and organizational measures intended to protect personal information appropriate to its sensitivity and the risks involved.

These measures may include controls relating to:

  • account access;

  • authentication;

  • system permissions;

  • vendor management;

  • secure service providers;

  • backups;

  • monitoring;

  • incident response;

  • staff access; and

  • other appropriate safeguards.

No online platform can guarantee absolute security.

Users are also responsible for protecting their own account credentials and devices.

Suspected account compromise or serious security abuse should be reported through Report a Concern or Abuse.

29. PRIVACY & SECURITY INCIDENTS

FIA maintains processes intended to identify and respond to privacy and security incidents.

Where a breach involving personal information triggers notification, reporting or recordkeeping obligations under applicable law, Innovara Marketing Inc. will take the actions required by that law.

This may include, where applicable:

  • assessing the nature and sensitivity of the affected information;

  • assessing potential harm;

  • containing the incident;

  • documenting the incident;

  • notifying affected individuals;

  • notifying applicable authorities; and

  • taking reasonable mitigation steps.

30. CROSS-BORDER PROCESSING

FIA may use service providers that process or store information outside Ontario or outside Canada.

Where information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction.

FIA considers privacy, security and contractual safeguards where appropriate when engaging service providers.

Cross-border processing does not remove FIA’s accountability for personal information under its control.

31. DATA RETENTION

FIA retains personal information only for as long as reasonably necessary for the purposes for which it was collected or as otherwise required or permitted.

Retention periods may vary according to factors such as:

  • account status;

  • transaction requirements;

  • Seller participation;

  • tax obligations;

  • accounting requirements;

  • payment disputes;

  • chargebacks;

  • fraud prevention;

  • contract administration;

  • legal requirements;

  • regulatory requirements;

  • complaint handling; and

  • legitimate recordkeeping needs.

Different categories of information may therefore have different retention periods.

When information is no longer reasonably required, FIA may delete, destroy or anonymize it in accordance with applicable requirements and internal procedures.

32. MARKETPLACE & FINANCIAL RECORDS

Marketplace and financial information may need to be retained after an account or Seller relationship ends.

This can include records relating to:

  • orders;

  • payments;

  • refunds;

  • Seller payouts;

  • Affiliate commissions;

  • invoices;

  • taxes;

  • chargebacks;

  • disputes;

  • acceptance of terms; and

  • legally required Seller reporting.

Closure of an account does not necessarily create an immediate right to deletion of information that FIA must retain for legitimate legal, accounting, tax, security or dispute purposes.

33. ACCURACY

FIA aims to keep personal information as accurate, complete and current as reasonably necessary for its intended use.

Users and businesses should update material information they control when it changes.

Marketplace Sellers have additional obligations to keep applicable business and Seller information current.

34. ACCESS TO PERSONAL INFORMATION

Subject to applicable law and permitted exceptions, an individual may request information about personal information FIA holds about them and may request access to that information.

FIA may need to verify the identity of the requester before responding.

Some information may be withheld or redacted where permitted or required by law, including where disclosure would improperly reveal information relating to another individual.

Requests may be submitted through the Policy, Privacy & Legal Enquiry process or by contacting:

privacyandterms@finditall.ca

35. CORRECTION

Individuals may request correction of personal information they believe is inaccurate or incomplete.

Where appropriate, FIA may:

  • correct the information;

  • request supporting information;

  • annotate a disagreement; or

  • explain why a requested change was not made.

Public business-profile corrections may also be handled through FIA’s applicable listing or claim process.

36. DELETION & ACCOUNT CLOSURE REQUESTS

Individuals may ask FIA about deletion of personal information or closure of an account.

Whether information can be deleted depends on applicable law and FIA’s legitimate retention requirements.

FIA may need to retain certain information relating to:

  • transactions;

  • contracts;

  • accounting;

  • taxes;

  • legal obligations;

  • security incidents;

  • fraud;

  • disputes;

  • chargebacks;

  • Seller reporting; or

  • enforcement matters.

Where deletion is appropriate, FIA may delete, de-identify or otherwise dispose of the information.

37. PRIVACY COMPLAINTS

Individuals may raise concerns regarding FIA’s privacy practices through the Policy, Privacy & Legal Enquiry process.

FIA may:

  • acknowledge the complaint;

  • verify identity where necessary;

  • investigate relevant records;

  • request additional information;

  • correct an issue where appropriate; and

  • provide a response.

Nothing in this Policy prevents individuals from exercising external complaint rights available under applicable privacy law.

38. CHILDREN & YOUNG USERS

FIA’s commercial programs, Marketplace selling functions, paid contractual services and similar contractual business activities are intended for adults or persons otherwise legally capable of entering the applicable agreement.

FIA’s public website may nevertheless be accessible to younger users.

FIA does not intentionally seek unnecessary personal information from children.

Where meaningful consent cannot be provided by the individual and parental or guardian consent is required by applicable law or privacy guidance, FIA will seek appropriate authorization before processing information for that purpose.

Parents or guardians who believe a child has submitted personal information inappropriately may contact:

privacyandterms@finditall.ca

39. THIRD-PARTY WEBSITES

FIA may link to websites, services or platforms operated by third parties.

Those third parties may have independent privacy practices.

FIA’s Privacy Policy does not govern information that an individual independently provides directly to a third-party website or business outside FIA’s control.

Users should review applicable third-party privacy policies before providing personal information.

40. MARKETPLACE SELLERS AS INDEPENDENT BUSINESSES

Independent Marketplace Sellers may have their own obligations concerning personal information they independently collect, use or control.

For example, a Seller may independently collect information from a customer in order to provide:

  • an appointment;

  • professional service;

  • delivery;

  • ongoing support; or

  • another independently supplied service.

Where the Seller independently determines how that information is handled outside FIA’s control, the Seller may be separately responsible for its own privacy practices.

FIA participation does not transfer all Seller privacy responsibilities to Innovara Marketing Inc.

See Understanding Our Role for additional information.

41. CHANGES TO THIS PRIVACY POLICY

FIA may update this Privacy Policy to reflect:

  • changes to Platform functionality;

  • Marketplace development;

  • new programs;

  • service-provider changes;

  • legal requirements;

  • security requirements;

  • technology; or

  • privacy practices.

The published Policy will identify its current version and effective date.

Where a material change involves a materially new collection, use or disclosure of personal information for which additional consent is required, FIA will take appropriate steps before relying on that new processing.

Continued use of FIA does not by itself create valid consent for a materially new purpose where applicable law requires additional consent.
